POLICY AND PROTOCOL
PHOTO PERMIT POLICY 2024
1) Photo Permit Fee Structure
A semi-private photo permit (for non-public hours only) is required for each photographer or videographer.
A full field photo permit (giving you exclusive use of our fields, for non-public hours only) is required for any drone, large prop, group of photographers or boudoir photos (conditional to Laveanne's prior consent).
All photo permit opportunities are available daily between July 12th and July 21st. Photo permits are available before and after public business hours only (5:30 am to 8:30 am and 5:30 pm to 8:30 pm, July only). No photo permits or "for-profit photography" is permitted during public business hours. Semi-private photo permit rate is $100.00 plus tax per one hour time block. Private full field photo permit fee is $300.00 plus tax per one hour time block. The semi-private photo permit grants one photographer only taking photo's, more than one photographer requires another photo permit. Full field photo permit is required for group photographers of three to maximum of twenty. Laveanne's consent is required for circumstances of subletting your reserved time block.
Re-scheduling is only permitted within 48 hours after paid booking has been confirmed, a $20.00 administration fee will be charged.
Booking 2 or more 1 hour blocks will entitle a photographer to a free contact listing on our website for individuals seeking a photographer. This is conditional to you providing contact information and a past photo in our lavender field which you have permission to publish on Laveanne’s website. Otherwise a business card style prepared image maybe submitted. Participating photographers who do not qualify for the free listing, can choose to be listed for the cost of $20.00 + tax.
2) Cancellation Due to Weather
We split the loss of a severe weather event conditional to the following circumstances. You will receive a 50% refund of your booking fee for the affected hour(s), in the event of severe weather here at Laveanne, not “forecasted weather”. Showing up at your appointed time is required due to the varying nature of weather and its location. Cancellation due to rain is at our discretion only and not encouraged. This is an outdoor season time sensitive venue and many creative photo’s have been taken when rain has occurred. We make every effort to replace your booked time block only if severe weather is imminent or occurs here at Laveanne on your appointed day and time. We don't pre-book back up dates. A serious effort must be made by you to fulfill you're booking at your appointed time. We book a maximum of three photographers per time block to insure space for a fourth to come, in the event of a conditional weather rescheduling. Please take the nature of weather and the distance your are travelling into consideration prior to booking. Every attempt to re-schedule due to severe weather will be made at no extra cost. In the event of not finding another suitable date and time, only 50% of your payment will be refunded due to severe weather. In the event of life threatening severe weather imminent or occurring here at Laveanne we ask that you leave the fields and take the necessary pre-cautions to protect yourself and your clients. You are responsible for your own and your clients safety. Any other reason for cancellation, the refund will be at our discretion. If you have any other questions please contact Laveanne.
3) Field Etiquette
Please note pets are not allowed in the fields.
The registered photo permit holder is required to check-in upon arrival. You must maintain your appointed time, this means arriving early enough to check in and be prepared to enter the field at your appointed photo permit time. Appointment times will be enforced, because of respect to other photographers and our maintenance schedule. It is the permit holders responsibility to manage the conduct of their clients. Clients waiting for photo shoots with their photographer must wait in an orderly fashion at the entrance to the field and not be wandering the fields or taking their own personal photographs. Please respect the photo backgrounds of the other photographers. Photography visitors must respect the property. Picking or damaging the lavender is not permitted. No personal client photography is permitted during your professional photography session. Your Photographer rented the field to do your photo's. Your personal photography is only permitted during public visiting hours. Clients must exit fields immediately after photo session. You are responsible for the removal of all props, accessories and trash after your photo session. No confetti or similar allowed. Any conduct deemed unacceptable by Laveanne and you may be asked to leave.
4) Bookings and Payment Procedure
Submit your requests through the Photo Permit Application form, on or after our designated booking intake date and time. Laveanne will review the application on a first come, first serve bases. Fill in the form indicating three possible dates and times that would work for you in order of your three chosen preferences. Laveanne will do its best to give you the dates you have requested. Once you send in your application we will then forward you a quote for your review. Note; the quote will expire in 24hrs. Upon your online acceptance of the quote, you will immediately be sent an invoice requesting your immediate payment. Payment in full is the only way you can secure your dates and times for the photo permit booking. Failure to pre-pay in full within 24 hours, will result in your tentatively reserved time block being allocated to someone else. This it to maintain an accurate, timely booking calendar for other photographers.

5) Cancellation refunds will be at Laveanne's discretion
Refunds due to cancellations occurring at Laveanne, will be provided only on booked dates effected. A refund will be provided minus a 5% transaction fee, charged by merchant services refund & payment method.
