PRIVATE PHOTOGRAPHY SESSIONS WHEN IS A PHOTO PERMIT REQUIRED?

If your photograph is to be used for a profit purpose currently or into the future, such as marketing, promotion or portfolio with the intention of selling the photograph or photography services as a result of photography taken here at Laveanne then a photo permit is required to support the costs associated with maintaining this venue. For any personal not for profit photography, a permit is not required, during public business hours only.


IS DRONE PHOTOGRAPHY ALLOWED?

No drone photography permitted during public business hours. After hour drone photography requires Laveanne's prior consent and a full field photo permit.


AM I REQUIRED TO HIRE MY OWN PHOTOGRAPHER?

Yes, you are required. Laveanne does not provide a photographer with the photo permit.


WHEN ARE PHOTO PERMITS AVAILABLE?

Photo permits are available before and after public business hours only (5:30 am to 8:30 am and 5:30 pm to 8:30 pm, July only). No photo permits or "for-profit photography" is permitted during public business hours. Saturday evenings in July are reserved for Laveanne's special events and not available for photography. Bookings are taken beginning Jan 1st each year for the coming season.


PHOTO PERMIT POLICY 2020


1) Photo Permit Fee Structure

Semi-private photo permit opportunities are between July 1st and July 25th. The photo permit rate is $75.00 plus tax, per one-hour time slot. The private full-field photo permit fee is $225.00 plus tax per one-hour time slot. The photo permit grants one photographer only taking photo's, more than one photographer requires another photo permit. Full-field photo permit is required for group photographers, conditions apply. Laveanne's consent is required for circumstances of subletting reserved time slots or large props. Drone photography is only permitted after public business hours and requires Laveanne's prior consent with a full field photo permit. Rescheduling is only permitted within 48 hours after the paid booking has been confirmed, a $20.00 administration fee will be charged per re-scheduling at Laveanne’s discretion.


2) Cancellation Due to Weather

We split the loss of a severe weather event conditional to the following circumstances. You will receive a 50% refund of your booking fee for the affected hour(s), in the event of severe weather occurring here at Laveanne, not “forecasted weather”. Showing up at your appointed time is required due to the varying nature of weather and its location. Cancellation due to rain is at our discretion only and not encouraged. This is an outdoor seasonal time-sensitive venue and many creative photos have been taken when rain has occurred. We make every effort to replace your booked time slot only if severe weather is imminent or occurs here at Laveanne during your appointed time. We don't pre-book back updates. A serious effort must be made by you to fulfill your photo booking at your appointed time.
We book a maximum of three photographers per time slot to ensure space for a fourth to come, in the event of a conditional weather rescheduling. Please take the nature of the weather and the distance you are travelling into consideration prior to booking. Every attempt to re-schedule due to severe weather will be made at no extra cost. In the event of not finding another suitable date and time, only 50% of your payment will be refunded due to severe

weather. In the event of life-threatening severe weather imminent or occurring here at Laveanne we ask that you leave the fields and take the necessary precautions to protect yourself. You are responsible for your own and your clients' safety. Any other reason for cancellation, the refund will be at our discretion. If you have any other questions please contact Laveanne.


3) Field Etiquette

Please note pets are not allowed in the fields.
The registered photo permit holder is required to check-in upon arrival. You must maintain your appointed time, this means arriving early enough to check-in and be prepared to enter the field at your appointed photo permit time. Appointment times will be enforced, because of respect to other photographers and our maintenance schedule. It is the permit holders' responsibility to manage the conduct of their clients. Clients waiting for photo
shoots with their photographer must wait in an orderly fashion alongside the field and not be wandering the field. Please respect the photo backgrounds of the other photographers. Photography visitors must respect the property. Picking or damaging the lavender is not permitted. Any conduct deemed unacceptable by Laveanne and you may be asked to leave.


4) Choosing a date during the bloom

Laveanne can not guarantee the quality or timing of the bloom dates. The bloom is short, and the best time is usually between the 2nd- 3rd week of July to see the most intense colour. A rough estimate of bloom dates;

-July 1st to 9th, dark purple buds, starting to open

-July 10th to 16th, opening buds to full bloom.

-July 17th to 25th, full bloom to starting to fade.

-July 26th to 31st, fading flowers and flower harvest, we are actively harvesting the fields the last week of

July so you may not see whole fields of lavender in flower.

Just to give you an idea, the first week of July the fields are a beautiful deep dark purple bud and the flowers are just starting to open and there are no Honeybees yet. Then there is a two-week blast of intense colour, with pollinators, during the 2nd and 3rd week of July. After the third week, the fields change colour again and the fields go back to a deep dark purple as the flowers close up again and start to fade.


5) Bookings

Please indicate three possible dates and times that would work for you and Laveanne will do it’s best to give you the dates you would like, please rate them a first choice, second and so on. Once you send Laveanne that information we will see if it is still available and if it is, it must be prepaid by money e-transfer to secure your time slot within 24 hours of Laveanne’s confirmation of your requested times and total fees. Failure to pre-pay in full within 24 hours, will result in your tentative time slot being allocated to someone else.


6) Sending an e-transfer

Send the e-transfer to our email provided for the spot tentatively being held for you within 24 hours of Laveanne’s confirmation. While creating the e-transfer you will also be asked to create a simple question with a secret answer. Once completing the e-transfer it will automatically be sent to our email address. The email will have a link that we open within our bank account. The only way we can retrieve the money is to answer the secret question 100% correctly. The answer can be sent in a separate email to us. Full payment is required within 24 hours.

Each season we welcome thousands of visitors wanting to experience lavender. With Covid-19 restriction on group gathering still in effect, we need to limit the number of visitors and the duration of their stay. This is the only way that we can allow as many visitors as possible to experience the lavender bloom. We thank you for your cooperation and understanding as we together work through this difficult situation.

Laveanne Lavender Fields Rain-or-Shine Blossom Event- and what that means for you.

  • We don’t ever want you thinking that we’ll cancel for a little rain

  • We don’t want you thinking you won’t have fun even if there is rain. We have free rain ponchos that you can have to help keep you dry. We wait all winter for the chance to dance in a warm summer rain so here is your chance.

  • We’re a small business and we don’t get a second chance at this. (There’s no insurance for rain, we are insured for everything we can be but voluntarily closing down because of rain is not one of the things)

  • We want you to know we’re committed to you. We hope to make your visit with us enjoyable, educational and entertaining.


Field admission is non-refundable and when we might cancel:

  • If it’s dangerous (that’s rare) weather like a tornado or very large thunderstorm that will last hours or a storm that brings sustained winds of 35mph for at least one hour. That makes it impossible for people to stay safe and dry.

  • If we can’t predict the storm: Sometimes we just watch the weather and it says that we’re in the middle of a storm but there is no bad weather in sight.


How we’d cancel or delay (in the very rare occasion):

  • We could wait it out if the storm is not going to last much longer.

  • We will give you a destination reward for coming out in the weather that is valued at the same price as your ticket cost. As well as suggestions for other things you could see in the area.


What has changed:
Our goal has always been for our visitors to have a memorable and uplifting experience when visiting us. Now we would like to add safe and comfortable as well. We have implemented new measures to ensure your safety during our July lavender bloom. With four acres of rolling lavender fields, we can make safe social distancing very achievable.
We have put together a comprehensive protocol that will address the challenges we will all face to stay healthy as the restrictions begin to ease.

Before your arrival, visitors will be asked to make reservations on our website for the July lavender bloom visitation. This is to eliminate cash exchange and encourage the quick movement of traffic through the fields. We will be limiting the visitation time to one hour. We will also limit the number of visitors in the field at one time, and the number of people using our terrace for their picnic lunch. We have adjusted the number of tables and chairs available on the terrace to comply with the social distancing guidelines. The informative slide presentation in the shed will be replaced with a virtual visitors guide that we will send our visitor upon booking.

July is the only month that you can see blooming lavender fields and July is when we have a very high visitation rate. Since large events and mass gatherings can contribute to the spread of COVID-19, we have cancelled all special events such as dinners, workshops, seminars, and yoga classes. This year also, we will not have food service. Since our on-farm store and nursery are too small to have safe social distancing, they will both be closed to the public, although we will be offering curbside pickup or shipping. We hope to meet your expectation for lavender bloom visitation in the following ways:

What we will offer this season:

  • We are limiting the number of people who have access to the field at one time and their visit to one hour. We plan to do this by taking appointments on our website. The one-hour visit schedule is to allow as many visitors as possible to experience the lavender bloom. We will be offering discounts and give away incentives.

  • Appointments are a must due to Covid-19 restrictions. Pre-visit appointments are the only way to ensure that you will be served upon arrival. Pre-visit appointments also give you a virtual visitors guide and enter you into a draw for our gift give away every hour.

  • This is a Rain or Shine visit, on a rain visit we show our appreciation for coming out with a destination reward and complimentary rain poncho. Summer rains can be fun and often they are intermittent.

  • There will be stations throughout the fields that coordinate with the visitor's guide.

  • Our relaxing lavender labyrinth will be available to wander.

  • You are welcome to use our Terrace for your lunch if you can finish your lunch during your one hour.

  • Our beautiful fields make a stunning backdrop to your pictures.

  • Enjoy the quiet of our farm, we are very fortunate to be surrounded on two sides by the Ganaraska Forest, we often see interesting birds and wildlife.

WEDDING SITE TERMS AND CONDITIONS

  1. Online: Use the booking selection of your choice to select the date and requirements offered. Payment can be performed within the process.

  2. Banking e-transfer is another option.

Laveanne lavender fields hereby grant the permit holder and/or representatives permission to use the facilities outlined, subject to the terms and conditions of this agreement contained here and attached hereto all of which form part of this agreement. In consideration of this permit, the permit holder and/or representatives on behalf of the permit holder agrees:

To comply and to cause those using the facilities under this permit to comply with all of the terms and conditions of this permit;

To inspect the premises and facilities covered by this permit prior to any use by the permit holder to ensure that the facilities are suitable for the permit's holder intended use;

That all of Laveanne's grounds and facilities are acceptable "as is" and are used entirely at the permit holder's own risk;

Accepting this permit from Laveanne constitutes an acknowledgement from the permit holder and/or representative that he/she has read and understands the conditions and undertakings contained herein and further that he/she has the authority to represent and bind the licensee on all matters pertaining to this permit.

  • Laveanne is a smoke-free environment.

  • No confetti will be used.

  • No cutting or harvesting of plant material.

  • It is the responsibility of the holder of this permit to ensure compliance with these conditions by guests of the holder.

Refund Policy for Special Events, Wedding Ceremonies, Filming & Commercial Photography

Special Events:

  • A minimum of 30 calendar days notice to the date of reservation for a refund minus an administrative charge of 50% of the permit fee.

  • No refund issued for Special Event permit cancellations less than 30 days from the event date.

Wedding Ceremony:

  • A minimum of 30 calendar days notice prior to the date of reservation for a refund minus an administration charge equal to 50% of the permit fee.

  • No refund issued for Wedding Ceremony permit cancellations less than 30 days from the event date.

Filming / Commercial Photography:

  • A minimum notice of 5 working days is required for a refund minus an administration charge equal to 50% of the permit fee.

  • No refunds will be issued if less than 5 working days' notice is provided.
